Privacy Policy

This policy explains how MilkEntry handles information when you use the MilkEntry website, mobile application, APIs, account services, support channels and related features.

Publication configuration note. The current project identifies the service as MilkEntry and provides support@milkentry.com, but it does not contain a confirmed registered legal entity name, postal address or dedicated privacy-office contact. Add the verified operator details before publishing this policy where local law requires them.

1. Scope and service operator

MilkEntry (“MilkEntry”, “we”, “us” or “our”) provides dairy management and milk collection tools for dairy owners, milk collection centres, buyers, sellers and BMC teams. This Privacy Policy applies to information processed through our public website, mobile application, account and subscription services, APIs, support channels and communications that link to this policy.

By “you” or “user”, we mean the person using MilkEntry or the organisation on whose behalf that person is using it. If you use MilkEntry for a dairy, collection centre or other organisation, you are responsible for having authority to enter and manage that organisation’s information.

2. Information we collect

We collect information needed to provide the features you request. The exact information depends on the account type, device, configuration and modules you use.

Account and authentication information

  • Mobile number, one-time-password verification records and account identifiers.
  • Name, dairy or centre name and other registration details you provide.
  • Profile, address, role, language, subscription and account-status information.

Dairy and business information

This may include milk collection or purchase entries, milk sales, quality or rate information, buyers, sellers, customers, bills, transactions, payment balances, rate charts, reports, settings, invoices, notes and information included in a printed or shared summary.

If you choose to add them, records may also contain customer profile images, location information, bank or payout details, tax or identity details, documents and other information needed for your dairy workflow. Please only enter information you are authorised to collect and use.

Device, diagnostic and usage information

Depending on the features and configuration in use, we may receive device model, operating-system and app-version information, device identifiers, push-notification tokens, IP address, request and authentication logs, crash or diagnostic details, approximate technical location and information about how the service is accessed. We use this information to authenticate, secure, troubleshoot and improve the service.

Payments and support

When you subscribe, we receive payment and order status, gateway references, plan information and verification results. Payment-card, bank or other payment credentials are handled by the payment gateway rather than stored by this public website.

When you contact support, we collect the details you send, including your contact information, registered mobile number, message, screenshots, attachments, device context and support-ticket history.

3. How we use information

We use information to:

  • Create and authenticate your account, send OTPs and maintain secure sessions.
  • Store, synchronise and display the dairy records, reports, bills and settings you request.
  • Process subscriptions, verify payments, manage plan access and provide receipts or order support.
  • Enable printing and sharing through SMS, WhatsApp or other channels selected by you or supported by your device.
  • Provide customer support, diagnose problems, respond to requests and prevent abuse.
  • Operate, secure, monitor and improve the website, app, APIs and infrastructure.
  • Meet contractual, legal, tax, accounting, security and dispute-resolution obligations.

Where applicable law requires a legal basis, processing may be based on providing the service you requested, your consent, our legitimate interests in operating a secure service, or compliance with a legal obligation. Where a feature involves a consent choice, you can withdraw that consent through the available setting or by contacting us.

4. Sharing and third-party services

We do not sell your personal information. We may disclose information as follows:

  • Service providers: hosting, databases, security, authentication, OTP delivery, support, diagnostics, communications, storage and infrastructure providers that process information for MilkEntry.
  • Payments: payment gateways such as Razorpay may process payment information and payment verification data under their own terms and privacy notices.
  • Notifications: Firebase Cloud Messaging or other configured notification services may process device tokens and notification delivery data.
  • Sharing chosen by you: when you send a bill, entry summary or report by SMS, WhatsApp, email, printing or another channel, information is sent to the recipient or provider you select. Their handling is governed by their own terms and privacy practices.
  • Legal and safety reasons: regulators, courts, law-enforcement authorities, professional advisers or other parties when disclosure is required by law or reasonably necessary to protect users, the service, the public or our rights.
  • Business changes: information may be transferred as part of a merger, acquisition, financing, reorganisation or sale of assets, subject to applicable law.

Some providers may process information outside your state or country. Where required, we use appropriate contractual, technical or other safeguards for those transfers.

5. Your responsibility for other people’s data

MilkEntry is often used to manage customer, farmer, buyer, seller and employee records. If you enter another person’s information, you are responsible for providing any required notice, obtaining any required permission, using accurate information and responding to that person’s lawful request. Do not upload sensitive information unless it is necessary, lawful and protected by your organisation’s procedures.

6. Cookies and similar technologies

The public website is designed without a first-party advertising or analytics cookie system. We may use technically necessary browser storage or session mechanisms for requested functionality, and third-party resources such as the Bootstrap CDN, payment checkout or app-store links may receive normal request information when your browser loads them. The mobile app and backend may use tokens, device identifiers and similar technical mechanisms to keep you signed in, deliver notifications and secure the service.

You can control cookies and site data through your browser or device settings. Blocking necessary storage may prevent some features from working.

7. Security and retention

We use reasonable technical and organisational safeguards appropriate to the service, including authenticated API access, OTP controls, access controls, rate limiting, token invalidation, audit logging and protections for stored records. No internet transmission, device or storage system is completely secure. Keep your phone, OTPs, account access and any exported reports secure, and tell us promptly about suspected unauthorised access.

We retain information for as long as necessary to provide the service, maintain business records, resolve disputes, investigate abuse, enforce agreements, meet legal or accounting requirements and maintain secure backups. Retention varies by data type and purpose.

Account deletion currently marks the account as deleted in the backend and clears authentication tokens. The current project does not define a fixed number of days for permanent removal from backups, audit logs, payment records or legally required records. Such information may remain for the period required for those purposes and is then deleted or anonymised under the applicable operational retention schedule.

8. Your choices and rights

Subject to applicable law and reasonable verification, you may request access to, correction of, deletion of or information about personal data associated with your account. Depending on your location, you may also have rights to restrict or object to processing, withdraw consent, receive a portable copy, or complain to a data-protection authority.

To make a request, email support@milkentry.com from the account email where available, or include the registered mobile number and enough information for us to verify the request. We may need to ask for additional information to protect the account. Deletion and other requests are subject to records we must retain by law, security requirements, active disputes and information belonging to another person or organisation.

9. Children

MilkEntry is a business and dairy-operations service, not a service directed to children. Do not create an account or submit personal information if you are below the minimum age permitted by the law that applies to you. If you believe a child has provided information, contact us so we can review it.

10. Changes to this policy

We may update this policy when the service, law or processing practices change. We will update the effective date and, where required, provide additional notice. Continued use after an update means the updated policy applies to future use, subject to applicable law.
